Zoom Phone cutover — desk phones live, 877 and fax ports rejected and resubmitted — 2026-09-08

Chad Burnham's cutover day at the Denver office. He announced the desk phones live to the whole firm, published the extension list, and then spent the evening chasing two number ports that did not land. JT is copied throughout and was added by name to both port requests while Derek is out.

Summary

  • Chad announced to the zoomphone@ distribution at 3:40 PM that all new office phones are swapped to the new device and the Zoom service, with each person's old number reassigned; calls in and out work.
  • He published a 17-line three-digit extension table for the firm. JT is 802, Derek 800, Brandon 804, Jamar 803, Rheece 810.
  • The extension table has a collision: 817 appears twice, for Daniel Mayer and for Stephen Murphy, the latter highlighted yellow in the original — apparently flagged by Chad as unresolved.
  • Two numbers were still not ported at the announcement: the office fax line and the 877 number (8776528607). Chad said to expect them "later today"; neither landed.
  • At 3:46 PM Chad said he could not find the 877 in Zoom's pending list, wrote "I am paranoid it got cancelled," and asked Derek to check his inbox and whether Voyant had reached out. The 877 currently rings into Voyant and drops into the main voicemail box.
  • By 7:43 PM he confirmed it: "the 877 port was canceled on us, no reason I could find. I've resubmitted today." The fax order came back with an "exception" and was resubmitted under the same order number.
  • Chad added JT's email address to both port requests and asked JT to forward anything that arrives while Derek is out — this puts JT in the loop on an item that had been Derek's.
  • Zoom's own rejection notice arrived at 8:05 PM for Port-In Order 2026082516065858631, giving the reason as rejected by the current provider; a Zoom Phone Porting ticket ZPPO0570452 was opened at 8:07 PM.
  • Brandon asked Chad for the voicemail PIN; Chad said the PINs are system-generated, visible in each user's own settings, and that he does not have permission to read an existing PIN.
  • Greg Schowe asked about missed-call email notifications; Chad said Zoom does not send them, only in-app badges.

Decisions

  • Chad decided to resubmit both the 877 and the fax port rather than wait, and to route port correspondence through JT during Derek's absence.

They asked me for

  • Chad Burnham: forward anything that arrives on either port request while Derek is out. Chad added JT's address to both requests specifically for this.
  • Chad Burnham: (addressed to Derek, JT copied) check the inbox for anything from Voyant about the 877 cancellation.

I asked them for

  • Nothing raised.

Concerns and frustrations raised

  • Chad Burnham: the 877 port was cancelled with no reason he could find, and he could not see it pending in Zoom — "I am paranoid it got cancelled." The number is still ringing into the outgoing provider.

What they are focused on

  • Chad Burnham: closing out the last two numbers on the cutover — the fax line and the 877 — now that the desk phones are done, and getting end users self-sufficient on settings, voicemail and PINs.

Doable / not doable / needs a decision

  • Forwarding port correspondence to Chad → doable; it is a mail rule and an eye on the inbox, no work beyond attention.
  • The duplicate 817 extension → needs a decision, but not JT's alone; it is Chad's table and one of Daniel Mayer or Stephen Murphy has to move.

Action items

Mine

  • Watch for Zoom / Voyant port correspondence on the 877 and fax lines and forward to Chad while Derek is out — target 2026-09-11 — (Notion: not pushed)
  • Flag the duplicate extension 817 (Daniel Mayer and Stephen Murphy) back to Chad — target 2026-09-09 — (Notion: not pushed)

Theirs

  • Resubmitted 877 port (8776528607) through to completion — Chad Burnham — target not stated
  • Resubmitted fax line port, same order number — Chad Burnham — target not stated
  • Check inbox for Voyant contact about the 877 — Derek Eichenwald — target not stated

Suggestions for me

  • The 2026-09-04 open ask — distribute the Zoom end-user guide firm-wide — is now partly overtaken: Chad sent the settings, portal and voicemail guides directly to the whole zoomphone@ list himself on 2026-09-08. What is left for JT is confirming nothing further is expected, not re-sending links the team already has.
  • Being named on the port requests is a small scope shift. It is worth telling Derek on his return that JT is now a contact of record on both orders, so the handback is explicit rather than assumed.
